2022 SMITHVILLE LIVESTOCK SHOW DATES & EXPENSE REPORT REMINDERS


Hey all!  

We wanted to share a couple of reminders for our Smithville Show Exhibitors, since we are about 3.5 weeks away from the show!  There are a few dates and a couple of tasks that will need to be completed.

As a reminder, the rulebook is available for download HERE. Exhibitors and family members are responsible for knowing the rules that apply to their projects.  Remember that 4-H members are representing our program at all times while at the show and should be following the Texas 4-H Code of Conduct while present at shows.

Please also note that the rulebook outlines a fine of $100 per violation for not participating in the setup and cleanup events.  If you have a conflict, please get with your species superintendent(s) and your Ag Teacher(s)/County Agent ahead of time to discuss everything.

IMPORTANT DATES:

  • Sunday, April 10, 2022 - 2:00 PM Mandatory Set-up Day at the Riverbend Park Pavilion (Project Expense Sheets also due at this time)
  • Saturday, April 23, 2022 - Show Day!
  • Sunday, April 24, 2022 - 2:00 PM Mandatory Clean-up Day at Riverbend Park Pavilion
  • Wednesday, June 15, 2022 - Exhibitor Thank You Notes should be received by the Show Committee
 

PROJECT EXPENSE REPORTS:

  • All exhibitors must turn in a project expense sheet for EACH of their projects they will be showing 
    • These sheets need to be turned in to either your 4-H Agent (Mellanie Mickelson) or your Ag Teacher (Brad Bass or Rebecca Walla)
    • These are due on or before the Stock Show Set Up day, Sunday, April 10, 2022.  
  • A fillable PDF version is available for download at https://bit.ly/SmithvilleExpense
  •  For our new members, some items that you might include on this sheet are:
    • Cost of your animal project (what you paid for it)
    • Feed purchases (what type of feed, name, etc.)
    • Supplement purchases (what type of supplement, name, etc.)
    • New equipment purchases (water buckets, feeders, halters, lead ropes, pig whips, fencing, housing, brushes, cleaning & hair products, bedding, etc.)
    • Medical Expenses (Veterinary visits, medications, hoof trimming, vaccinations, treatments, etc.)
    • Show related expenses (health certificates from veterinarian, show entry fees, hotel expenses, fuel expenses, etc.)
    • Cost of 4-H/FFA membership dues
    • Income may potentially come from sponsored or donated items, participation in other shows such as jackpots or the Elgin Livestock Show, or the sale of equipment or projects
  • If you have questions or need help with this item, please let Mellanie know as soon as possible.

2022 Bastrop Show (BALSFA) Open Meeting & Auction Thank You Reminders

BALSFA OPEN SHOW BOARD MEETING & THANK YOU NOTE REMINDERS


Hey all!  

We wanted to share a quick note on the upcoming open show board meeting for the Bastrop Area Livestock Show, as well as a couple of reminders for youth that made auction just in case they have not received their thank you note info.  

Please see the information below and let us know if you have any questions!

OPEN SHOW BOARD MEETING:

  • The Open Meeting will be held at 6:00 PM this coming Monday, March 28, 2022, at the Bastrop Show Barn
  • If you have any suggestions, comments or concerns this would be a great time to have them heard.
  • If you are unable to make the meeting, please get with your 4-H leader or FFA teacher and they can be your voice. We appreciate all the input and look forward to making things better each year!

 

THANK YOU NOTE REMINDERS:

  • All exhibitors that made Auction at the BALSFA Show should have received their buyers list from the CEO or their Ag Teachers - if you did not receive your buyers list, please let us know as soon as possible.
  • Each exhibitor will need to write a thank you note to each individual buyer listed on their list.  Thank you notes need to be at our office by 12:00 Noon Thursday, April 14th, so we can verify them per the BALS rules. 
    • Any notes turned in after this will result in the exhibitor being fined $50.00. 
    • Please note that there may be a few buyers who do not have addresses listed; please let us know if you have any trouble with that.  If you happen to get those addresses, please let us know so we can help update the buyer’s list in the show system.
  • Many of you are familiar with the process of thank you notes and checks regarding the BALSFA Auction, but for those who may not be or who need a reminder, below are the requirements to keep in mind.
    • Thank you notes consist of the note, envelope, address, and appropriate postage
      • Thank you notes should be sealed in the envelope
      • Envelopes need to be sealed and stamped with the appropriate postage
      • The exhibitor’s return address and buyer’s address need to be written correctly and legibly on the envelope
    • Completed thank you notes need to be brought by members to the County Office (901 Pecan Street; Bastrop, Texas) by 12:00 Noon Thursday, April 14, 2022
    • Please double check individual names as youth write them – For example, we have seen a lot of notes addressed to “last name, first name” such as “Mickelson, Mellanie” instead of “Mellanie Mickelson”.  Please help your kiddos as they are writing :)

  • BALSFA is hoping to have checks available as soon as possible.  Please remember, according to the rules, if a bill is outstanding, the exhibitor will not receive any unpaid portion of the total purchase price from their auction sale lot.  So, if BALS has not received payment from a buyer, then BALS can’t cut a check to the exhibitor(s) whose projects were purchased.

2022 4-H Recordbook Training

2022 4-H Recordbook Training


Hey all,

We wanted to let you know that we are getting ready to start recordbook season!  We are putting together an overview geared towards those new to recordbooks, but all are welcome to attend.  Please see the information below to RSVP for the training!

For those who are experienced with recordbooks, we have included the links to resources and deadlines below.  There are lots of options to work on your recordbook ahead of time and get feedback if you would like it!

Please let us know if you have any questions!

Important Dates for Recordbooks:

  • COUNTY:
    • June 1, 2022: Recordbooks are due to the County Extension Office by 12:00 Noon
    • June 13, 2022: Recordbooks will be judged
    • June 14, 2022: Recordbooks advancing to District may be picked up from the County Extension Office to make corrections (all others will be returned at banquet)
  • DISTRICT:
    • June 30, 2022: Recordbooks are due to the County Extension Office by 12:00 Noon
    • July 7, 2022: Recordbooks will be judged (Recordbooks advancing to State may be checked out from the District Office for corrections)
    • July 29, 2022: All Recordbooks will be returned at Banquet 
  • STATE:
    • Senior (9-12 grade) aged 4-H members who place 1st in their category at District 10 judging will advance to State
    • Date for returning corrected recordbooks to State is TBA
    • State Judging typically takes place during the first week of August

 

Training Opportunity:




Opportunities for Experienced Recordbook Development:

  • For our more experienced youth and families, y'all are more than welcome to participate in our general overview.  We also want to let you know that you may also get feedback and direct help from us prior to judging in a few different ways:
    • You can send in your recordbook via email for feedback
    • You can drop off a copy  of your recordbook to be reviewed
    • You can come to the CEO to work on your recordbook together
    • We are flexible and will work with you!  Just make sure you do not wait until the last minute to get feedback - it will be hard to do so the few days before the deadline
